CVPP Planning Meeting - Get Involved!

Please join us for this meeting if you are interested in helping out with planning the 2014 Chicago Veggie Pride Parade!

We will be meeting at the Lincoln Park Whole Foods, located a block south of North Ave. and has free parking. Please find us at one of the tables on the second floor (near the washrooms). Vadim will wear a name tag.

This will be a general planning meeting to for CVPP 2014 with a focus on Outreach, Finance, and Operation Committees efforts.

While we will have fun planning, please keep in mind that this is not a social event but a business meeting.

It will be a great learning and volunteering opportunity which will include both: leadership and supportive roles. Everyone is welcome!

The meeting will last from 3:00 pm until approximately 5:00 pm. As there is a lot to cover at this meeting please be on time. Some of us will stay for the ChicagoVeg Leadership Team meeting which will be right there at 5:30pm (click here for details). Everyone is encouraged to join us for this meeting also as ChicagoVeg has many events & projects in addition to the CVPP which you may want to get involved with. After the CVPP meeting (before this ChicagoVeg Leadership Team meeting), if time allows, some of us may grab something to eat together.

    1-Feb-2014 - 50% security deposit
    1-Mar-2014 - procure quotes for rental equipment & services
    15-Apr-2014 - all applicable fees must be paid in full
    15-Apr-2014 - all paperwork must be completed
    15-Apr-2014 - all permits must be obtained
    30-Apr-2014 - finalize rental equipment & service contracts, pay all deposits
    29-May-2014- certificate of insurance and endorsement must be approved

    • Vadim is investigating food donation options and Terry will assist

    o We don’t think smaller restaurants would be able to afford something like this so chains are ideal

    o Since the food will be free there are no permit considerations we have to make

    • When promoting events, let’s try to add causes to help people connect more with the event. Ex: promoting the Veggie Pride Parade alone might not draw people in but promoting an event that will help the environment might get more interest
    • At the next meeting we’ll talk about speakers
    • There are some questions out there with people that have issues with the CVPP for various reasons. Terry will put together some talking points so we’ll all be comfortable responding to these questions when they come up

    Fundraising (cont)

    • Carrie will check with Irish Eyes about doing an event on 3/20 (or 3/13) where we’d guest bartend. You can bring in your own food and pick your hours. They like to have two bartenders at a time. You can create a signature drink for your event

    o We won’t be able to promote this event through ChicagoVeg since it’s alcohol related but we can promote through the veggie pride parade page

    o Fateneh will help Carrie with the promotional flier

    • Carrie will also look into fundraising at Marty’s martini bar

    • Terry will coordinate the world vegan bake sale again (Some time April 26-May 4)

    • Ken will submit the request to VegFund

    • Ken will follow up with a well fed world to see if they can make a donation again this year (last year they were able to contribute quite a bit)

    • LeoLin is running the Arbonne fundraiser now as a supplemental source of funds

    • The Pockets fundraiser will be held on Wednesday, February 12 to give us sufficient time to advertise. Ken will be available to host an actual meetup at the restaurant on Lincoln Ave. We will also advertise on Facebook

    • Ken will work on updating the fundraising flier for this year. Carrie will print 20 copies to have available at her party to give to volunteers. During Carrie’s event we’ll help “train” new volunteers on how to fundraise

    • Carrie will look into fundraising at Upton’s Naturals

    • Vadim will check with Marisa to see if she would be willing to help coordinate another event at Teresa 2

    • We’ll hold a competition 2/1-2/14 to get a new flier. We’ll choose and finalize the flier by 3/1

    • We need to get volunteers to help with the event- goal: 30 by the event

    o Carrie’s event will help get volunteers

    o Terry will try to promote at the vegan pledge program

    o Fatenah will reach out to Stephanie to see if she will coordinate volunteers

    o Stephanie (hopefully) will reach out to past volunteers to see if they’re interested in helping again this year. Possibly post on craigslist

    CVPP Team Meeting Minutes

    Permit Status

    • Andrea should follow up with the park district to get an updated status on the permit

    • We should move forward with assuming the date of the parade will be 5/31 for fundraising purposes. We will hold off on assuming the date for the speakers until it’s locked down

    • Megan is working on the DOT permit

    • The first installment will likely be due in February and will be around $2,000. There is some money from ChicagoVeg available as a last resort
