This Face Portrait Profile-Photo is to help the Organizer recognize YOU, at an event and to introduce you to the members of this club; it must not misrepresent your current image. This same photo may help emergency services (CHP, Fire Department, Sheriff, etc.), if there is an emergency situation.
2b) HETEROSEXUAL SINGLE-COUPLE APPLICANTS: When submitting a request for membership, both single-applicants within the heterosexual-SINGLE-COUPLE must supply individual face portraits (1-Woman/1-Man = 2 Photos) and an alternate CLOSE-UP PICTURE of the two of you, together; on same PROFILE-QUESTIONNAIRE submission. 2d) INSTRUCTIONS to CHANGE DEFAULT PHOTO PICTURE:
To change your Profile-Questionnaire default photo: Upload a face-portrait photo to your Meetup profile through your 'General' Account page: http://www.meetup.com/account
To change your profile photo on Seniors-In-Motion website, head to the Seniors-In-Motion home page, scroll to the words 'My profile' in the top navigation bar. From there, select 'View profile' where you'll find the option to 'Change YOUR photo'. Click to upload a new photo or choose from an existing face-photo that meets the requirements of Seniors-In-Motion. Photos uploaded must be in JPEG, PNG, or GIF format and under 10 MB.
2e) PROMOTIONAL PHOTOS: When attending an event, photos are often taken of participating-members during the S.I.M. activity. Some photos may be used for Seniors-In-Motion promotional advertising on its website and, on the "Find A Meetup Group" Main Category Directory, and/or on "Find A Meetup Group" topic directories. The Organizer will approach participating-members, during the scheduled-events, to request verbal permission to use photos for said-referenced website-directories.
3) NAMETAGS: Nametags invite members to "approach and converse" with one another. When you "Request to Join" this meetup-group, your first-name and last-name-initial IS required, plus a listing of your three-favorite-interests. This information is placed on member's personal Nametag-card. When member arrives to an event, the "Organizer" distributes preprinted nametags to each member and said-guest(s); each event-attendee is required to wear personalized nametag. At the end of each event, just prior to leaving, nametag(s) is/are to be returned to the "Organizer" (recycling reduces costs). Nametag-data is maintained in a database.
4a) PRIMARY-ORGANIZER: Nancy O.
4b) ASSISTANT-ORGANIZER is selected by the Primary-Organizer to assist in the daily tasks of managing Seniors-In-Motion meetup group-club. This person must be a member that attends events often. See responsibilities referenced in website below:
4c) EVENT-HOST ORGANIZER: Schedules and hosts specific event(s). See responsibilities referenced in website below:
5a) MEETUP WEBSITE FEES: Since April 16, 2013 to the present six-month term, the Bi-Annual Meetup HQ Organization Fees were paid by the SENIORS-IN-MOTION Primary Organizer, to keep this club-running. What does it cost to maintain this club?
Beginning Mid-April 2016:
• Basic Plan, limited to 50 club-members = $119.88/year ($59.94/6 months) + Supplies:
April 16, 2016 to October 16, 2016 / October 16, 2016 - April 16, 2017
5b) MONETARY DONATIONS are welcomed. Monetary donation(s) would help cover overall expenditures and administrative tasks: HQ bi-annual meetup organization website fees, paper-supplies (specialty cardstock used to print nametags and business-cards), tabletop signs, plastic-card-sleeves, printer ink-cartridges, red-helium-balloons, and unexpected reservation costs/fees/taxes, etc.
6a) MEMBERS: Members are REQUIRED to attend at "least" one activity or more every six-months, starting with the month member initially joined the club. Example: Jun 2014 - Dec 2014; Jan 2015-Jun 2015.
REWARD: When member attends one-or-more activities within a six-month term increment, SENIORS-IN-MOTION Primary-Organizer REWARD the "Active Member" with an extended membership term of six months.
DIAMOND MEMBER: When "Active Member" has completed two consecutive six-month terms without penalties (aka EXCELLENT attendance activity-record) ; the S.I.M. Primary-Organizer may offer club-member a "Diamond-Member" status. This allows the club-member to attend venues without being tracked on a six-month basis. However, all other policies (including penalties) referenced in this document shall continue to be exercised.
Note: the meetup corporation may continue to track members that are "inactive" in attendance and/or if member has blocked e-mail communications (aka"undeliverable"); the meetup corporation may remove an existing S.I.M. club-member from S.I.M. membership, automatically, without previous notification to the Primary Organizer.
6b) SCHEDULED-ACTIVITY: When member plans to attend scheduled activity/activities, click on the specific event(s), then click the green-box "RSVP-Yes" (meaning: I'm Attending).
6c) SIGN-UP POLICY: Club-member(s) who RSVP-YES" for a scheduled meetup activity" is stating he/she "agree" to attend the event. PREFERABLY three RSVP-YES club-members are needed to "activate" the event. Example: 1-Organizer/2-S.I.M. Club-Members (or) 1-Organizer/1-S.I.M. Club-Member/1-Guest. If less than three RSVP-YES club-members sign-up, the scheduled meetup activity may be cancelled by the SENIORS-IN-MOTION Organizer.
6d) ACTIVITY RESERVATION PREPAYMENT: When an activity reservation prepayment is expected to be paid in advance, please notify Seniors-In-Motion Organizer (via e-mail or activity comment box) stating that your admission fee has been paid in full. This allows the Organizer to be aware of which RSVP-Yes member(s) is/are definitely attending the event.
When activity occurs, it is the Member's responsibility to pay for his/her own admission fee and additional costs. Members are, also, responsible for their said-guest(s) fees/costs, if needed.
6e) ACTIVITY ARRIVAL TIME is set fifteen minutes (15 minutes) earlier than the actual scheduled event. This allows the attending members to arrive on site, park vehicle, walk to the designated meetup location, buy admission (if needed); and seekout the S.I.M. Organizer, at the scheduled-meetup time. It is vital the member(s) contact the Organizer, upon arrival to a scheduled activity; otherwise see PENALTIES, below.
6f) GUEST POLICY: Up to three-guests per member per scheduled event, unless otherwise noted. Member is responsible for informing the Organizer of how many guests will be attending and names of the guest(s).
When inviting Guest/Guests, please invite "heterosexual-singles" who are within the ages 40s through 70s.
Guests are responsible for their own fees/costs; should member's guest(s) come unprepared for payment; the responsibility then falls on the Member who invited the guest(s).
7. ETIQUETTE: Be considerate of your Organizer's time and personal finances...if you do not plan to attend a specific activity, return to the Seniors-In-Motion website and change your RSVP-YES status to RSVP-NO status.
This one act of kindness, on your part, will save the Organizer from spending unnecessary time and money: (1) buying un-needed car fuel (2) buying un-needed red-balloon (3) using un-needed printer-supplies to create nametag(s), (4) using un-necessary time to drive to destination (5) using un-necessary time to park vehicle (6) using un-necessary time to walk to meetup location (7) using un-necessary time to WAIT 15 minutes for member to arrive (8) concluding with un-necessary disappointment that you didn't attend, as promised by your RSVP-YES sign-up.
8a) If member decides not to attend an activity, it is extremely important for member to return to the SENIORS-IN-MOTION scheduled event website and change the RSVP status to read "RSVP-NO" (meaning "not attending"), acceptable time-cancellation: 24 hours prior to the event.
8b) INSTRUCTION ON HOW TO CHANGE RSVP-YES to RSVP-NO: Select the activity you previously signed-up to attend, go to the "RSVP-Yes" green box (right-margin) and click the box. Then click "change", then select "RSVP-No" (meaning: I'm Not Attending). This simple-action will help you remain a member of this meetup group for a longer term, as long as the task is done one entire day (24 hours) prior to the event - otherwise, see "No Show" policies.
9. MEMBERSHIP-PENALTIES (REMOVAL OF MEMBER)
9a) UNDELIVERABLE E-MAILS & NOTIFICATIONS: At the start of initial membership to join SENIORS-IN-MOTION and throughout each six-month membership term, each member is required to have an open-line of e-mail communication with the Seniors-In-Motion Organizer. (Example: Should S.I.M. Primary-Organizer send an e-mail to member requesting information, and member does not reciprocate a response within a reasonable turnover time (1 hour to 48 hours), the Member shall be considered "inactive" and may be "removed" by Seniors-In-Motion Organizer. See MEDICAL EMERGENCIES.
9b) INACTIVE / NON-ATTENDANCE MEMBER(S): If member(s) did not attend a single event within the first six-month-term of initial membership startup-date, the member shall be "removed" from this meetup group.

9c) NO SHOW: If RSVP-YES member did not notify Organizer of cancellation, 24-hours prior to the event occuring; or did not attend "the" event, a "No-Show" status is recorded on member's record. Three "No-Shows" means member shall be "removed" from Seniors-In-Motion meetup group.
9d) REMOVED-MEMBER: When Seniors-In-Motion member becomes a "removed member", the S.I.M. Organizer informs member of his/her attendance record ; and "may" invite the member to return for a second-six-month trial term (referred to as "Second-Chance"), depending on member's attendance record.
9e) MEMBER-CANCELLATION: If member voluntarily cancels membership, former-member is allowed to request admittance to rejoin SENIORS-IN-MOTION one time thereafter...equivalent to a "SECOND-CHANCE" status. iF reinstated-member again cancels; then member shall be permanently discharged from SENIORS-IN-MOTION.
9f) "SECOND CHANCE" to rejoin: Should the "former member" request a second chance to rejoin SENIORS-IN-MOTION meetup club, and is approved by Primary-Organizer, the "Second-Chance member" shall agree to attend one-or-more scheduled RSVP-YES activities within the six-month trial-term timeframe. At the end of the trial-term, if you have an excellent attendance record, you will be invited to continue your membership for a second six-month term....If, however, the reinstated member does not participate, and/or accrues penalties within their current six-month term; final termination shall occur. See "PERMANENT REMOVAL".
9g) PERMANENT REMOVAL: Permanent Removal is recorded in the SENIORS-IN-MOTION membership database only; it does not affect your overall status with the meetup.com organization. Member(s) permanently discharged from Seniors-In-Motion means you are no longer welcomed and shall not receive acceptance to rejoin.
S.I.M. Permanent Removal occurs when a Second-Chance club-member has not participated in any of the scheduled RSVP-YES activities throughout his/her SECOND-CHANCE six-month term(s).
S.I.M. Permanent Removal occurs when a Second-Chance club-member, voluntarily cancels membership, before completing a full six-month term.
9h) MEETUP HEADQUARTERS "may"automatically-remove" member via email notification; due to non-accessible e-mail communication with member(s) and/or non-attendance within six consecutive months. See website:

LATE CANCELLATION: Cancellation during the hour of the scheduled activity event", is considered "Last-Minute Cancellation" or "Same-Day Cancellation"; member shall receive a "No-Show" penalty. (Exception: Medical Emergency).
DOES NOT CHECK-IN WITH ORGANIZER: If RSVP-YES member does not check-in with Organizer, upon arrival, member is considered a non-attendee; therefore a "No Show" penalty shall be recorded on member's meetup record.
ARRIVE THEN LEAVE: Should RSVP-YES member check-in with Organizer at start of event, then immediately leaves the meetup-group to join other acquaintenances/friends/family outside of this meetup-group, and does not return to the SENIORS-IN-MOTION meetup group, the member shall be considered a "Last-Minute Cancellation"; a "No Show" penalty shall be recorded on the RSVP-YES member's attendance record.
LATECOMBERS: From time-to-time, tardiness may occur, due to misinterpreted GPS driving directions, traffic-construction delays, parking delays, etc. Should the meetup time be specified, and the "Latecomber" arrives 10-to-15 minutes past the scheduled event, please be sure to seekout and inform the specific meetup Organizer of your presence. Otherwise, the member who does not report-in, shall receive a "No Show" penalty.
9j) RATIFICATION for NO-SHOW ATTENDANCE :

Late member arrives at scheduled event, locates event Organizer...stays for the event; the "no show" penalty shall be dismissed
10) MEDICAL-EMERGENCY: Sudden crisis needing immediate action and/or medical attention. If an emergency arises and a S.I.M. member is absent from a prescheduled activity, the member is required to provide a written explanation, via email, after the crisis, to the Organizer-in-charge to prove cause of absence; otherwise, the member shall be penalized as a "No Show" status.
10a) ACCIDENTS or CRIME: Should an accident occur and/or member(s) witness a "serious crime-in-action", contact 9-1-1 immediately. Contact the SENIOR-IN-MOTION Event Organizer, after you contact the police. Local City/County Law Enforcement/Fire Department numbers are on website, below:
