On the Edmonton Shutter-Bugs web page there is a tab called “Suggestions”. The tab is designed so that the membership can suggest meetups. When a meetup is suggested individuals can respond by indicating their interest in the comment section or RSVP. They can also comment, add to the suggestion as well as RSVP.
Please not that this is a suggestion page only and NOT A MEETUP. Only the organizers can schedule and announce a meetup.
The organizers review the suggestion page and if they have time will take the suggestion (depending upon the membership response) and develop it into an actual meetup with all the details (time, place, location, attain permissions if required, etc.). To make it easier for an organizer to set a suggestion up as a meetup, the member should include as much information about his/her suggestion as possible.
Member as an Event Host
If a member is keen on his/her idea they can indicate that they that they would be willing to host the meetup. The organizing team encourages this as it would allow for more events to occur during the year. If possible an organizer may accompany the event host for the meetup.
If a member is willing to host a meetup he/she should indicate date, time, place, meeting location, brief description of the meetup and acquire the location or obtain any permissions that may be necessary.
An email should also be sent to the organizing team (in case we do not spot the suggestion) indicating that they would like to host a meetup. One organizer will take the lead and work with the event host to ensure that all the basis are covered, answer questions from the event host and announce the meetup when all the arrangements and obligations are meet.
Prior to offering anything to the public please discuss with an organizer first!
Event Host Responsibilities
When a member wants to be an event host then the organizer will give them :”limited web page permission” for the meetup. Thus, they control the posted meetup and can set limits on the number of participants, time, date, location, etc.
If a member is going to host a meetup then the organizers will expect them to be at the meetup. Event hosts should be at the location at least 15 minutes prior to the start date and make themselves visible. It is also their responsibility to make everyone welcome.
Hosting meetup is fun and rewarding. It is usually as simple as picking a date, location, time and making everyone welcome. If your are hosting an event where there is some level of safety concern (shooting at night) then the host must be more diligent.
