I have a suggestion that can make your life as an organizer easier J
I have been organizing Meetups for several years. My experience is that the percentage of no shows is fairly constant and therefore predictable and easy to compensate for. Depending on the type of Meetup it can be anywhere form 20%-50%, So if in your group you have a common no show rate of say 30%, and you have 50 people RSVP, simply make reservation for 35 people, and that is pretty much how many will show up. Simple and effective method, no need to waste time enforcing any no-show policy.
We enjoy meeting new friends, and having dinner is always nice. What is not so nice, is the no shows that we have. I make reservations on how many are attending, but when you do not show up it makes the Roswell Coffee Meetup group look bad. 3 no shows will result that Meet up will delete you from our group automatically. I often post what time I am making a reservation that way if you are unable to attend you can notify me immediately. I know emergencies happen just shoot me an email and let me know and the no show will be removed. I want to be able to have other events but the no shows that we have is making it hard for me to plan. I hate sending emails and post about this stuff, but if the no shows continue, I will be making limits on how many will be able to join us. If you have any questions please let me know.
