NO-show/repeated, 11th hour cancellation Policy:
Due to the increased popularity of our hikes and events, we (the Organizers of Trails and Ales) are instituting a no-show/repeated cancellation policy. We do understand that people have had and will have legitimate reasons to cancel, so long as they try and communicate this to the event organizers.
The effect of no-shows on event attendance is self-evident, but a bit of explanation for the problem of repeated cancellations is in order:
It appears that a number of members (as noted by the Organizers) have been repeatedly reserving their ‘spot’ for events way in advance of the actual event. This is fine if the member actually does attend the event. However, a handful of members have been holding onto their spot until a day or so in advance and habitually cancelling from the RSVP list. By that time, people who really would have attended but were pushed onto the waitlist have made other plans and lose out. Therefore, to make it as fair as possible for everyone, we are instituting the following policy:
1. Three unexplained no-shows within a six month period will result in the member being removed from the group.
2. Repeated and unexplained 11th hour cancellations (less than 48 hours before the event) can result in the member being manually moved to the Waitlist for future events that they attend. This will be done at the discretion of the organizer for said event.
3. Should the pattern for 11th hour cancellations continue, that member may then be removed from the group.
The policy will go into effect immediately, and may be retroactive for some members who have already abused the RSVP system.
