The Young Vancouver SocialClub Rules for Events-Activities

Release of Liability Waiver Form

You, the reader, acknowledge that participation in the Young Vancouver Social events/activities such as hiking/snowshoeing carries with it inherent risks including, but not limited to, the risk of injury. And you, the reader, freely accept and fully assume all such risk(s). It is the responsibility of each participant of an event/activity to familiarize themselves with the risks of events/activities including but not limited to hiking, skiing and snowshoeing, to weigh those risks against the advantages, and to decide whether or not to participate. The Young Vancouver Social event organizers, and members cannot and will not assume liability in respect of any of these risks, dangers, hazards and liabilities. Participants further acknowledge that it is their responsibility to ensure that they carry adequate medical, extended health, dental and accident insurance coverage, as well as protection for personal possessions. It is the participants individual responsibility to verify that they are in good health and are physically capable of carrying out the hiking activity or any events/activities organized by the Young Vancouver Social. Therefore, in consideration of being allowed to participate, individuals release the Young Vancouver Social , and its event organizers, and members from all liability in respect of any personal injury suffered, any damage or loss of personal property, which may arise out of participation in any Young Vancouver Social events/activities.

The Young Vancouver Social Club Rules for Events/Activities

1. All participants in our club activities are entirely responsible for their own safety.
2. All event organizers are volunteers and are not responsible for any accidents or injuries which may occur.
3. The organizer reserves the right to decline members if they show up to the meeting spot unannounced.
4. As a group, all participants should keep an eye on each other.
5. All participants must prepare with necessary supplies for any events/activities.
6. All participants must stay within the group and follow the organizers' advice on all events/activities.
7. Participants should post real pictures of themselves to their member profiles when they sign up for any events/activities.
8. Participants should commit to the entire event/activity. The organizers cannot do their job if some participants only go partway through the event/activity and then return on their own.
9. Participants should check the Young Vancouver Social site a few hours before the event/activity for any possible reschedule or cancellation.
10. No Guests, No dogs and No persons under the age of 18 are allowed on our events/activities unless they are specified otherwise by the organizers.

Please DO NOT sign up if

1. Uncertain to commit to the entire event/activity, or
2. Having other appointment(s) on the same day, or
3. Not planning to stay within the group for the entire event/activity
4. You prefer not to be on camera as some participants may take photos and/or videos during the hike and post them either on the Meetup site and/or other sites like YouTube for public display to share and recapture those great memories with other members/friends.

A reservation made to the event/activity leader is a commitment to attend the event/activity. If one makes a reservation and then must cancel, please do so at least 3 days, preceding the event/activity. Last-minute drop-outs result in other members from the waiting list not being able to get onto the event/activity. Every participant must conduct themselves in such a way as not to detract from the enjoyment of the other participants at all times. Members may be removed or excluded from the Young Vancouver Social events/activities should their behavior warrant such an action. Examples of these behaviors include but not limited to the followings:

1. Sign up more than one event held at similar time, or
2. Sign up an event but does not show up, or
3. Be last minutes drop-out frequently, or
4. Using e-mail/Young Vancouver Social event board to write irrelevant or rude comments, or
5. Violate any of the Young Vancouver Social club rules for Events/Activities

Rules for Signing up to Waiting List

1. Sign up to waiting list only if one considers seriously to attend events/activities.
2. Change one's RSVP to “No” from waiting list immediately after one would not consider to join events/activities anymore.
3. For certain events/activities, organizers may have to contact members on waiting list, member must ensure to have an e-mail account that he or she checks regularly linked to the Young Vancouver Social meetup. Otherwise, one's membership may be removed if one has been contacted but no response for a prolonged period of time or even no response at all.

Double Booking

Double Booking is not allowed on the Young Vancouver Social. Double Booking refers to a member who has booked two events on the same day and could not possibly do both events on that day. This could either be two events with the Young Vancouver Social or with another meetup group. If a member is reported to make double booking, he or she will be declined from both events on the Young Vancouver Social. When it occurs on another meetup group, the organizer of that specific event will be notified.

Double Booking prevents other members from participating in events, it causes events to be operated in an unfair manner. As a result, members who commit to join may not be able to do so.

Fit Rule

Before signing up for a hike, each member must decide by their own whether he or she is fit enough to go for the hike. If one is not fit enough, he or she will endanger themselves and put other members on hiking events at risk. Testing one's abilities in the wilderness is never a good idea. Please feel free to contact your event organizer if you have any questions about your fitness level. Organizers may in the first 15 minutes of a hike ask one to leave the hike should they feel one is not fit enough to continue. Members should always report incidents or participants who put themselves or the group at risk.

No Show Rule

If you are planning to cancel from an event on the Vancouver Outdoor Club, you must do so with a 48 hour notice. For example, if an event is on a Saturday. You must cancel before Wednesday, midnight although legitimate reasons are to be considered by each organizer. "No Shows" will be reported to all organizers. "No Shows" will also apply to hikes that states "rain or shine".

No Smoking

Smoking on the trails is not permitted under all circumstances.

E-mail Communication

The organizers of the Young Vancouver Social send e-mail to all members for event notifications, hiking video and/or photo sharing, and other club related notes from time to time to promote outdoor activities. These e-mails reach all members. If you decide not to receive some of these e-mails or even all of them, the only way to do so is removing yourself from the Young Vancouver Social. There is no such a thing to remove a member from certain e-mail distribution lists but keep him/her as a member.

Members must read this important page frequently. We reserve the right to revise or modify the Young Vancouver Social rules, policies or agreements at any time without prior notification.
