As the BAFOE community is large and continues to grow, and the size of venues limited, we ask that members RSVP responsibly. Changing your RSVP is a simple matter of courtesy and good manners and takes just a minute or two of your time. Please consider others who would very much like to attend events but never make it off the waiting list or are discouraged from even adding their name.
There is a limit on the number of people venues can accommodate so everyone attending an event is required to RSVP. Please only RSVP YES if you are fairly confident that you - and your guest if you are bringing one - will be able to attend. Note: Both you and your guest count towards the attendance cap.
Events are often full, so if your plans change or your guest cannot come please update your RSVP as soon as possible so that someone on the waiting list can be notified and has time to plan their week and go instead.
If you RSVP YES but do not come to the event you will be recorded as a No-Show (see below).
If you cancel within 4 hours of the start of an event (e.g. after noon for a 4pm event) and there are people still on the waiting list, you may be recorded as a No-Show (see below).
2. Waiting Lists
When an event becomes full, you can select the option to be put on a waiting list. There are often cancellations, especially in the final 48 hours before an event. You can take yourself off the waiting listing at any time if your plans change.
You'll automatically receive an email message if you're moved on to the YES list. If you're unable at that point to attend, please cancel your RSVP so someone else on the waiting list has the chance to go instead.
Our space at venues is finite and an attendance cap (the maximum number of people) has been agreed with the management of each venue, so please only come to the event if you make it off the waiting list.
Note: If you indicate that you are bringing a guest, the Meetup system will change your RSVP only when spots open up at the same time for both you and your guest. If only a single spot opens up, a person lower on the waiting list who is not bringing a guest will leapfrog you!
3. Checking In and "Event Crashers"
When you arrive at an event find the BAFOE welcome table to receive your BAFOE name badge and make a contribution to the BAFOE Operating Fund. The requested contribution is $1 per event.
Note: Make sure your name is properly checked off the event's attendance list to avoid being recorded as a No-Show!
If you come to an event for which you have not RSVP'd or not made it on to the YES list you may not be given a BAFOE name badge.
4. No-Show Policy
Your "life-time" No-Show record is shown in the Attendance Stats section of your Meetup BAFOE profile page. This is visible only to you and the organizer.
In addition, if you are a No-Show, the annotation "NS" will be added beneath your name followed by the count of your no-shows i.e. NS1, NS2, etc. This is visible to all BAFOE members.
After two no-shows (NS2), if you RSVP for an event, you may be moved to the waiting list for a period of time until others are accommodated.
After three no-shows, you will be removed from the group.
At the organizer's discretion, if you are a No-Show but then maintain a record of consistent attendance when you have RSVP'd, you may have your NS annotation downgraded and eventually removed.
If you are recorded as a No-Show but feel there were extenuating circumstances that should be considered, please contact the organizer.
