Edmonton .NET User Group (EDMUG)

President

Responsibilities
- ensure ongoing monthly events
- support other roles
- drive community enthusiasm
- participate in user group lead sessions
- prepare upcoming event tasklist
- observe what is effective in driving UG membership and sponsorship
- follow up on loose ends

-Good at seeing big picture, self-motivated, and passionate about community.
-Attentive to matters and act/response prompty




Vice-President

Responsibilities
- monitor and report on operations
- help improve operations strategically
- support other roles
- backup role as the executive lead

Treasurer

Join the executive in one of our most vital roles and shape our future.

Responsibilities
- Properly receive (issue receipts) and provide funds (receive and keep proper records)
- Report financial activity to board monthly and advise as needed (ex. we need to cut expenses, etc.)
- Maintain bank account
- Review incorporation documents including bylaws and 'Service Alberta' society information to advise board on society's obligations
- Safeguard incorporation documents and financial records
- Submit official documents (as described in the 'reference' section below)
- Remind President to call Annual General Meeting (AGM) in proper time

Qualifications
- Trustworthy with financial matters
- Basic financial literacy
- Responsible, attentive to details, and follow proper procedures:
- entrusted to properly submit official documents by specific deadlines
- safeguard and properly file financial records and documents
- must follow proper processes and paperwork for receiving and providing funds

Reference
Official documents include:
- Annual Returns (mailed one month prior to incorporation anniversary month)
- Change Notices (within 15 days of change of address or directors)
- Amend Notices (name or bylaw changes)

Secretary

Responsibilities
- attend all meetings of the society and of the Board, and to keep accurate minutes of the same.
- shall have charge of the Seal of the society which whenever used shall be authenticated by the signature of the Secretary and the President, or, in the case of the
death or inability of either to act, by the Vice-President.
- shall also keep a record of all the members of the society and their addresses, send all notices of the various meetings as required, and
collect and receive the annual dues or assessments levied by the society. Such monies shall be promptly turned over to the Treasurer for deposit in a
Bank, Trust Company, Credit Union or Treasury Branch as required.
- gather and submit required documents for yearly society renewal

Member Director

Sponsorship Director

Responsibilities
- Maintain records of previous and potential sponsors (i.e. include contact info)
- Maintain an ongoing marketing campaign towards potential sponsors
- Maintain the sponsorship guide document
- Communicate to and on behalf of Sponsors
- Responsible for sponsor related activities (i.e. introduce sponsors, ensure execution of sponsorship materials)
- Convey user group effectiveness in promotion

Qualifications
-Good with marketing and follow-up
-Enjoy building relationship with business




Program Director

Responsibilities
- enjoy networking with local experts, MVPs
- figure out prospective presenters/speakers
- communicate possible timeline for scheduling event
- confirm date of speaker and venue availability
- coordinate the presence of speaker at the time of event and location of the venue
- build contingency plan on event disruption

Qualifications
- enjoy networking with professionals
- great coordinator




General Director

Responsibilities
- this role is meant for someone who is not necessary tied to any specific role's responsibility but is joining the team to learn about each other's responsibilities and helping out in any way possible.
