1. How do I make final payment for a trip and when is it due?

About 1 or 2 weeks before the payment deadline that is advertised on the trip page, we will send out a payment request. This will detail the amount owed as well as include bank details.

The deadline for each trip is listed on the event page under the "Costs and Payments section".

A further final reminder email will be sent out about 1 week before the trip detailing who owes what and this will confirm all payments received

2. What happens if I become unable to attend a trip?

For day trips:
Change your RSVP to "No" on the event page and send us an email with your Paypal Invoice ID to:
If you have emailed us at the time you changed your RSVP AND the trip is full (i.e. your space is bought by someone else), we will refund your payment on the coming Monday evening. If the trip is NOT full (i.e. your space is not bought by someone else) OR if you do not email us at the time of changing your RSVP then you will not receive a refund. An email is necessary so we know the time that you pulled out.
If you have a guest then you can select "Change RSVP" on the event page and reduce your RSVP to 0 guests whilst still keeping your own space on the walk

For trips of one or more nights:
If you have only paid the deposit and still owe the remaining amount for the trip then no refund will be due if you pull out or miss the final payment deadline.

If you have made full payment for the trip then so long as all spaces on the trip are sold and it is showing as full you are welcome to advertise your space for sale on the trip page and to try to sell it to somebody else directly. If spaces are still showing for sale, then Outdooraholics have spaces still remaining and you will need to wait for us to sell these before advertising your space for sale. We advise you to include either your email address or phone number so that people can contact you. You may or may not be successful and you will need to arrange this yourself and to take payment directly from whoever buys your space. Outdooraholics will not get involved in this payment. To advertise your space for sale please post a message in the comments section of the event page, you may wish to include your phone number or email address as well. The comment will be visible to everyone and emailed to those on the Waiting List. You can only sell your space to someone of the same gender as we endeavour to arrange single gender rooms and please let us know once you have sold your space:
We allow you to advertise your space only on the event that you have that space on and this is at our discretion. Anyone who abuses this with multiple posts or posting to other events will be removed from the Meetup group and not be enabled to advertise their space for sale.

If you are getting close to the trip, you may also wish to message people on the waiting list directly and individually which is more personal and can increase your chances of selling your space. You may also wish to advertise it on your Facebook page or to email your friends.

If you become unwell at late notice we can happily supply you with a confirmation and receipt of your payment if you have travel insurance and wish to claim off this.

3. I want to go on a trip that's full/I've been emailed saying there's one more space/can you just add 1 more person to the trip?

If you select the option to join the waiting list you will be notified by email when a space becomes available. Everyone on the waiting list is notified together so you may find that the space has gone when you log into the site. For day trips you can just buy this space. For weekend trips you will need to read the FAQs section on buying a space from someone and follow the instructions there. For more information on how the waiting list works, please do contact Meetup support:

If you're received an email saying that a space is available and have logged in to the website and it's now showing as full then that space has already been taken.

We get a lot of emails asking is just one more person can be added to a walk. We limit numbers on all events to an enjoyable level and do not add more spaces when they are full.

4. I'm on the waiting list - how does it work and will I get a space?
For events that are full there is a waiting list in operation. If you are still interested in going to the trip please join the waiting list. When a space becomes available everyone on that waiting list will automatically get an email advising them of this space. If it's a day hike, the first person to pay for the space on the website will get it. If it's a weekend trip you will need to buy the space from the person selling it - please see the topic on this in these FAQs. Generally if there is a large waiting list (5 or more people) there is a small chance of getting a space, this chance decreases with the size of the waiting list. To make this system fair it is an entirely automated process. It's always best to sign up for an event early when there are still spaces left.

5. What happens if I want to go on/buy someone's place on a trip?

For one day trips you just buy it on the site. For weekend trips:
If you wish to purchase a space from another member who is unable to make the trip you need to check with us first that their space is still available and has been fully paid for: Once we have confirmed that it is, please arrange to pay them directly for their space and let us know once you've done this so that we can send you the trip information pack. We try to arrange single gender rooms where possible so you can only purchase a space from someone of the same gender.
