Heather and everybody, 

I'll let you know my experience contacting companies for free donations.  While you may get a "No" sometimes, I often got a very positive "Yes" to free donations.  If you are are optimist you can say it's because everyone is kind hearted.  If you are a pessimist you can say it's because businesses get a tax write off.

Most businesses want to know the specific charity and a one or two line explanation of what they do.  Some businesses want a thank you note on the charities letterhead (for tax purposes or to display their generosity).  

And my mother found something interesting when she collected children's books, toothbrushes, and ornaments for a children's Christmas party at a library that was damaged by Katrina, some businesses wanted to be thanked in the local paper and some specifically did not want to be thanked publicly (because they were concerned it would open them up to too many solicitations.)  She also had some business approaching her about when they could give more again.  (She made sure to give pictures of the happy children at the party which really made everyone feel happy they donated.  I think this helped.)
