The "Fine Print"

The FINE PRINT - Please become familiar with Volunteer Vixens’ Policies/Guidelines:

RSVP for an event: As a member, you’ll automatically receive an email whenever a new event is posted. Simply read over the event description, check your calendar, and then indicate “yes” or “no” in the box at the top right of the event posting and then click “RSVP”.

No show and late cancellations: We are not your typical Meetup group, in the sense that as a member of this group you are making a commitment not only to the group, but also to a nonprofit. We encourage members to make a strong dedication to attending the events they RSVP “yes” to.

The organizers of this group are volunteers, as well, who put significant effort and time into planning events that are both meaningful and fun. Please be conscientious about how your no show or late cancellation will impact the organizer of the event, the nonprofit that we’ve made a commitment to, the locale that we’ve given a head count number to, the members on the waiting list, and the other group members that are left waiting for additional people to arrive before starting the planned event.

If you RSVP “yes” for an event, you’re expected to show up. When we make a commitment to a nonprofit as a group, they are expecting the agreed upon number of people to show. If we do not show up with the number of volunteers that we have communicated to the nonprofit, our relationship with the nonprofit is weakened. These events are a commitment to these organizations, and it reflects poorly on our Volunteer Vixens group when we receive cancellations at the last moment. We need to make sure we can fill these events consistently.

If something comes up, please be respectful by updating your RSVP no less than 24 hours in advance. If you cancel with less than 24 hours notice and have not communicated with the event organizer, we may change your RSVP status to “no show”. We do take attendance at events and we take your RSVP seriously. We understand that things sometimes come up last minute that are unavoidable, but it is important that you change your RSVP as soon as you know you have a change of plans, and understand how your late cancellation or no show affects the group.

Any member who shows a pattern of RSVPing “yes” for events and then is a no show or late cancels (cancelling with less than 24 hours notice) without communication to the event organizer is at risk of being removed from the group. We try to not be rigid about this, so it’s not a set number of no shows or late cancels you are allowed. If you have an extreme conflict that comes up last minute, it is important that you communicate with the event organizer.

Removal from the group is at the discretion of the Volunteer Vixens’ organizers and is on a case by case basis. If the organizer(s) see a pattern of no shows or late cancellations with a member, that person will be warned of membership eligibility and possibly removed from the group. If you are removed from the group, you are welcome to ask to rejoin in the future when your schedule is more accommodating. Thanks for understanding how important this is.

Please read the entire event description thoroughly before RSVPing “yes” and show up prepared: Sometimes there are special instructions and details that are pertinent to the event, or information about a fun social activity that we’ll be doing after volunteering.

Show up on time: Please plan to show up at the designated meeting place a few minutes before the posted start time. At least 24 hours before the event, event organizer will provide their cell phone number to all members who have RSVPed “yes”. If you are running late, you are encouraged to contact the event organizer on their cell phone. If you know ahead of time that you will be late, but would still like to attend, simply state that in the comment section with your “yes” RSVP. This helps the event organizer plan accordingly.

Membership dues: Meetup.com charges our group $89.94 every 6 months (previous to 1/9/15, it was $72 every 6 months). We do not have sponsors for our group and Kristin pays this fee to Meetup.com. We ask that each member contribute $2 per year in membership fees. Of the $2, Meetup.com takes $0.65 as a processing fee. Kristin receives $1.35, which all goes directly to the fee that Meetup.com charges our group to operate. We still are not breaking even and are in the red, as the vast majority of members don't pay the $2. Kristin is generously paying the amount that isn't covered by members paying the membership fee.

To remain active in the group and continue participating in upcoming events, this fee will need to be paid within three months of joining Portland Volunteers Vixens. We do not want to make this a hardship for any of our members, so if you have any concerns please contact Kristin or Alissa. Members who neglect payment of the membership fee and have not contacted the organizers may be dropped from the group. You may ask to rejoin at any time in the future.

This fee will cover the Meetup.com maintenance fees first and foremost. If we are able to cover these fees and have excess, all additional money will go to deposits for securing venues, administrative costs, supplies, and will potentially go into a scholarship fund.

Thank you in advance for paying the small membership fee to help keep this group going!

Inactive: If you are inactive in the group for over a year, you may be removed from the group. If you are removed from the group, you are welcome to ask to rejoin in the future when your schedule is more accommodating.

Provide feedback: After an event, you will receive an email from Meetup asking you to rate your experience with the event. Please complete as much of the rating as you care to and add a comment if you’d like. We welcome your feedback!
