    It is my regret to inform all that due to an unacceptable request from one of the team leaders that if his team pull out of the tournament after it has started, they would get refund on the balance. First of all, all the funds are expenses for the courts, balls and match meals. They cannot simply come and go as pleased. Secondly, he does not seem to know his team well enough that he has their commitment. I understand he will be in an embarrassing situation if he team pull out on him. I do not want him to worry or bear the financial lost. Normally, for any games or tournament or league, if and when a team pull out for any reason, they would forfeit all rights and privileges to the tournament. I do not see the pull out happening as it never had in our four years history. I want to totally relief his worry. That is why I have let him go as team leader. If the players in this group still want to continue. They have to read the Tournament Guide and consider selecting another team leader.

    This is skeleton of the tournament budget:

    We have to pay for the public court fee. There are 20 matches and each match will take 7 court-hours. Assuming court fee remains $68. Total court fee is $9520.

    We have to pay for the new balls. The assumption is using one four ball can for each Pro Set. As there are 8 Pro Set in one match, total ball expense is $6400.

    Then there is the prize money for the Men's Single, Women's Single and Double in the order of $900, 300 and 150. For each category, the top three players will get $1350 and for all three, total budget is $4050.

    We want each players to receive a souvenirs and I budgeted $15 each. Total $900.

    There will be three Trophies for each category i.e. Men, Women and Double. I am budgeting it on average of $300 each. Total $$2700.

    We have a very nice tradition which has been blessing most of the players, i.e. the dinner (sometime late 消夜) . I want to honor that. I prepare the tournament to pay for part of the meal to encourage participation. The meals from my experience cost around $100/head. I am budgeting $600 for each match for 10 players plus the two coaches. Total is $12000.

    Then I also budgeted a small amount for incidental expenses such as transportation, petty expenses etc for $1000.

    Total expense is $36570 if my calculation is correct.

    Total charges to be collected from 60 players is $36000.

    For the coaching part:

    Fees pay to each coach for 2 two-hour workshop is $700.

    Fees on coaching on court for about 3 hours is $700.

    For each team, total fee pay to their coach is $4200.

    If all participate in coaching, fee pay to all 10 coaches is $42000. Let me remind you, the normal cost of meetup group lesson is $75/hour/player which amounts to $90000 to all 60 players. I have bargained this from a total of $90000 down to $42000. I hope i did not leave any bad feeling with the coaches. Each player with coaching is budgeted at $1300.

    If and when there is a deficit, I have prepared to cover it by sponsorship. We are working on soliciting sponsorship for balls and souvenirs. If and when there is a surplus (before and after the possible sponsorship money), all will be directed to a register NGO in Hong Kong which is helping the ADHD children through Tennis. I understand Betty and Coach Joey are involved in the tennis program. I will leave it to them if you want details.

If you think you are rated too high which place you in a less favor handicap, you can appeal only with approval of one of the coaches (on the Event Host list).     Please start drafting following these rules: There should be 10 players including the leaders in each team.
    We don't have time to go drafting one player at each round. I suggest that each team would have at least four players at the Advance beginner/intermediate level.Team winning is not the ultimate purpose, rather it is the team building spirit where members will be helping each other to improve their games.
    Matches will follow a handicap system:
    4.0 is a zero handicap
    3.5 is a one handicap
    3.0 is a two handicap
    2.5 is a three handicap so on and so forth

    All matches will be played on a Pro Set format:

    In case a 2.5 handicap is playing a 4.0 handicap, the 4.0 need to win up to 8 games and the 2.5 would need only to win 5 games. The 5 winning games plus the 3 handicap equals to the 8 game set. The tournament would include cost of practicing with coaches (they are event hosts of this event, you can visit their profile to see more information), courts, balls, prizes and trophies. In addition, there will be admin costs including and in addition to my time.

    More interestingly, the practice sessions are preparing the players to play and win. You may ask, there is only one winner in each match, how can we all win.

    My goal is to aim at:
    Winning the game even if losing this point.
    Winning the match even if losing this game.
    Winning the league even if losing this tournament.

    If you are tough enough, yes, you can play the league.

    There will be six sessions for each team to train you to face up to the difficult time on court during matches. Individuals can go to at least four and at most all six.

    These lessons will not be the same drilling exercise where you just hit the balls over and over. Rather, the format will guide the coaches to examine what your skill sets are and guide you to make the best out of it with the sole purpose of winning. Most of the time, you will be playing matches with others watching and evaluating. Discussions will follow. Physical and mental exercise will be given as homework. Those are valuable lessons but I am going to make it as inexpensive as possible.

    I am considering to give a good discount to the volunteer leaders.

    After talking to all the coaches, I can come up with the pricing.

    Hi Shum Kwok Shing Michael, Thank you for comment. Looking at the current trends, I cannot disagree that APPARENTLY SOMETIMES there are more instructional events than simply social tennis. The situation can be understood from two perspectives. First, there are demand for tennis class, otherwise the coaches would not post them. We started with nothing four years ago and a whole bunch of tennis beginners. Many of them have grown to play competitively as a result of their hard work and the coaches' teaching. This is good and healthy. From what I know, all coaches themselves are continuously learning as well. It is also a requirement for qualification from all sanctioning authorization entities such as HKTA, USPTA etc. To me, tennis is a life long lesson. I am still learning and I am a senior citizen.

    Secondly, there are less event organizers posting social tennis events, which is more or less reflecting the result of current weather lately. At the same time, it also reflects that some Event Organizers might have been discouraged for various reasons. Going forward, I think we (including you and I) should all encourage by supporting, by showing appreciation to our Event Organizers. They are all volunteering their time and effort. To get a court playing at during peak hour, they would have to get up early so that they can make reservation at 7:00am.
    It is comments like yours which keep us changing, developing and growing. Yet, until and unless all members are in their (EO) shoes, they probably wouldn't understand deep down the reason why there are less social tennis events.
