I belong to a meetup in Naples Florida as well and every event has three boxes when a notice is sent out. A yes box a maybe box and a no box. That way every member has to commit in some way even if it's to sit on the fence with a maybe? I don't know if that's useful for this group or not.

Hey Sports Fans,
First let me say congrats, and a job well done to the Wine Diva who hosted the New Members Meetup tonight. I think she has something here :)
So lets talk about RSVPs. I am fairly certain I put out an email in January sharing my views on the subject. As an organizer, Kristi Bender handed this out to all new members. I think it is worth for all members of Tacoma, Wine, Dine and Happy Hour to review.

Welcome to Tacoma Wine, Dine and Happy Hour!

We are a fun group that likes to get together and taste wine, beer, food and meet new friends.
As a member you may attend any event posted.  It is not necessary to RSVP ?NO? if you cannot or do not want to attend an event.  It is necessary and helpful if you RSVP ?yes? initially and cannot attend the event to go on-line and change your RSVP to ?no?.
If you cannot attend an event that you RSVP?d for please change your status as soon as possible.  Many of our events are ?closed events?, which means only a certain number of participants can attend, due to size limitations of the venue.  In this case if you do not change your RSVP and are a no show you are preventing another member from attending.  When we have events at restaurants or other public locations we make sure the venue knows how many people are planning to attend.  Some of those venues provide additional staff accordingly so we need to make sure we give accurate counts.  Not changing your RSVP or waiting until last minute to do so makes it very difficult to give accurate attendance numbers.  Many of the venues we have selected give us special deals due to the number of customers are bringing in.  Please help us keep a great relationship with these venues!
If you see an event that you would like to attend and the event is full with a waiting list go ahead and get on the list.  It is very common for members to change their RSVP and most of the organizers set the waiting list to automatically, which puts the next person in line as attending when a member changes their RSVP.  If you are the next in line you will be automatically moved up to attending and will receive an email.
Some events do require payment in advance.  The Trillium Wine tour is an example.  The reason for this is they are bringing in food just for our group and we have to pay for the number of attendee?s we give them.  Since they only have room for twelve we set that as a limit and need to make sure that everyone that does RSVP can attend.
Also as a member you can suggest a future meet up to any of the organizers.  We will be happy to check it out for you and schedule accordingly.  We may ask you to be the ?host? of the event depending upon the event.  Hosting may require working with the venue and setting up at the venue if necessary.  Since each event is different we can discuss specifics at the time your event is scheduled.
