Hi Settlers folk.
Thank you again for filling out the survey a ways back now. Here's what we learned:
-- there'd be tolerance for a small cover charge;
-- a venue with food isn't important;
-- if we added a meetup, the best day and time would be Sunday afternoon, followed by Tuesday evenings;
-- there's interest in having more meetups/month; and
-- there's interest in having meetups in diverse locales (nj, brooklyn, wall street, etc.)
Mark and I discussed these findings and how we could best accommodate the most people. Here's what we propose:
1) ORGANIZER HOSTED SETTLERS
Our 2 regular monthly meetups will remain the same with Mark and/or me attending. At these meetups there will be no cover charge (as long as there are venues that accommodate us for free) and we will be open to teaching newbies.
2) MEMBER HOSTED SETTLERS
In order to address the growing demand we want to encourage you all to run your own Settlers event for the group. Here are the rules to Member Hosted Settlers:
-- Host must arrange for a venue (we highly recommend talking to the manager to confirm costs, and day/time availability before publicizing);
-- Host must bring a Settlers board;
-- The venue cannot be in a home (we may change this later but for now we are keeping to public locations);
-- The event must be at least 2 weeks out for us to list it on the official calendar;
-- Host must show up;
-- Be upfront if you are not playing with our house rules (e.g. If someone rolls a 7 on the first round, they get to re-roll);
-- Host may choose to combine the event with an another activity such as settlers and skating, settlers and a movie, settlers and comedy, beer and settlers, settlers in the park, etc;
-- Any cover or other charges must be disclosed in the event listing;
-- At least initially, we will not expect you to collect donations (this could change if our fees go up or the additional meetups drastically alter attendance and so we are winding up with less dollars to cover our costs);
-- At least initially, we will encourage Member Hosted Settlers to be scheduled on the weeks where we don't already have a game on the calendar; and
-- If a Member Hosted event gets good feedback, we would be open to making it a recurring event on the official calendar.
Based on our experience starting this initial group, it can take a while to build momentum for new events. We have incorporated the lessons learned into the rules above to help ensure this expansion of our meetup is successful.
