Attendance at Phoenix Philanthropists Events

Fantastic Philanthropists,

First, I want to thank you all for everything you do.  We have gone through a lot of changes in the last year and through it all we have been able to maintain connections with our 41 fantastic charity partners and make a great impact on our community - and that's due to everything you do every time you volunteer your time.

Second, I'd like to introduce myself to those of you I haven't met yet.  I stepped up as the Service Committee Chair last October, and have been working to strengthen our current relationships with current charity partners and build new relationships with new potential partners in the valley.  If you ever have any questions/suggestions about events, feel free to contact me!

Now to the point of this email. Over the past few months, we have seen a number of no-shows and last-minute cancelations to various events. Unfortunatly, it seems that an email like this has to be sent out ever six months or so, and no one enjoys it. :( Attendance and being responsibly committed is critical for our events as we have other people and organizations relying on us. We don't like letting down the organizations we support and when we promise to deliver, it is our responsibility to deliver. Myself and our hard-working event leads remain in constant contact with our charity partners to let them know how many volunteers to expect at their events based on RSVPs.  When we tell St. Mary's that we have 65 volunteers coming to their warehouse (December 2012) and only 22 show up, this hurts our reputation as an organization, our ability to impact the community, and it hurts St. Mary's because they're not able to get as much done as they had hoped.

As always, we understand that emergencies and things do come up. If you RSVP YES, but can no longer attend, PLEASE change your RSVP ASAP. Our charity partners rely on us to attend when we say we will and our attendance policy is intended to ensure we can meet our charity partners' expectations. Please give a minimum of 2 hours' notice for this event before canceling. No Call/No Shows will be recorded, and after 3 No Call No Shows/month or 6 No Call No Shows/year, you will be contacted and could be removed from the Phoenix Philanthropists MeetUp. Please understand this policy is not intended to penalize our philanthropists, but to ensure we maintain good relationships with our charity partners and can give the most back to our community.
