In an attempt to make SLN events run more smoothly and foster community, I've written up a reminder to be sent out to all event hosts below:

The event host is the person who scheduled the SLN meetup event and that person is expected to be at the event.

Events that a person feels are important to post but cannot make it to, should be left for someone else to post, but please contact a facilitator about special circumstances or really important events.

In the event that the host cannot make it but does not wish to cancel (for example; the event is being put on by someone else and there are several other attendees), they should send an email to the attendees and post a message letting everyone know that they will not be there and asking another attendee to be the host for the event (forward this message to that person).

The host is expected to identify an exact location (like a statue to meet at or a corner of a precise room) for people to meet if it is an event that people are expected to show up at a certain time, and have some form of easy identification like an SLN sign to tell members you are there.

The host is expected to have verified with the meetup place beforehand that it will be open and available and welcoming to the meetup.

The host is expected to inform the attendees of some way of contacting them prior to and during the event so that everyone can find them. Phones work well for this, or texting or instant messaging. If these are not possible for some reason, and you can't ask someone else to be the contact, then you must make extra effort to be in the right places at the right times so no one shows up wondering where everyone is. Please contact a facilitator if you have any concerns about giving out contact info. We can figure something out.

The host should wear an SLN nametag (these can be found under the tools button on the event page), and have the nametags available for the other attendees, especially if its a walk-around event with other people in attendance. (The nametags are lame right now, but really helpful, we're working on improving this).

The host should greet people and be friendly and help build community! In a walk-around event, please try to find the other attendees. Using the comments on the meetup event page to plan an identifying piece of clothing or wearing the nametags in advance will be a great aid. And remember, calling someone by the wrong name or approaching the wrong person is better than snubbing someone because you weren't sure they were the right person :)
