What we’re about

Ever wanted to try hiking, backpacking, and camping events. Open to anybody wishing to try safe backpacking and camping experiences. We will hike and backpack during the day taking in sights, admiring the surroundings and enjoying nature. Camping by night, bbq's, beers, and the occasional campfire where permitted. A certain level of fitness required as we will be hiking carrying full kit, on varied terrain (some hilly)
Points to note -

  1. these events need to be booked 4 weeks prior to taking place due to the necessity to confirm campsites.
  2. these events are designed to be accessible without use of a car.

Terms and Conditions
Pitch Hike provides adult trips only. You must be at least 18 years of age to make a booking or attend any of our trips.
We do not accept pets on trips due to safety reasons. Pets can distract others and cause a tripping risk or trigger allergies.
If you make a booking on behalf of another person, you guarantee that you have the authority and legal capacity to accept and do accept these Terms on behalf of the other person/s and you become the “lead name”. As the lead name for a booking we will only deal with you regarding all correspondence, changes, amendments and cancellations.
All events are run by Pitch Hike and by booking or participating in a trip with us you are agreeing to these Terms and Conditions.
Failure to comply with the above T’s & C’s may result in you not being accepted on to the trip, or no refund due or offered.

Personal Statement and Insurance
I accept that taking part in activities Pitch Hike offer such as hiking, outdoor cooking, river swimming and any other outdoor activities is at my own risk.
I further confirm that I am medically fit to take part in such activities.
I also assume responsibility of keeping myself safe - such as, but not limited to, being careful when walking on slippery surfaces or close to electric fences and barbed wire; as well staying away from cliff edges. I declare I will not do anything to put any other person or property at risk.
For Pitch Hike trips we recommend you consider taking out appropriate insurance. BMC offer suitable policies at surprisingly reasonable rates:

Pitch Hike cannot be responsible for your valuables on our trips. All baggage and personal items brought are done so at your own risk and knowing that Pitch Hike do not have insurance for them. We will not be responsible for any loss, damage, or accident to any personal property.

Medical conditions and emergency treatment
Your personal safety is of paramount importance to us and therefore you are required to ensure that you are medically fit for the trip you have booked.
You are required to advise us not later than 7 days before the trip of any condition, medical or otherwise, that might affect your or other people’s enjoyment of the trip, including but not limited to, conditions such as asthma, diabetes and allergies. If you have a medical condition that may affect the health or safety of others you are required to contact us before booking your trip.

First Aid
Our events are led by a trained hike leader, and qualified Outdoor Activity First Aider.
In the event of a medical emergency arising you consent to the administration of First Aid measures as may be determined necessary by the group leader or any other person present with current First Aid training.

Payment and Refunds
A full payment is required for our trips under £100 at time of booking. Once paid we are unable to offer a refund as bookings for campsites and transport will have to be confirmed. If you should find yourself unable to attend, please inform Pitch Hike by email as early as possible and change your RSVP to “No”.
Trips over £100 will require a non-refundable deposit upon booking to cover the camping and transport confirmations, with the balance being paid by the date specified. Failure to pay the balance could result in your space on the trip being lost.
In both cases, and ONLY if your space should sell, Pitch Hike will refund your fee within the working week following the trip.
All monies paid are non-transferrable.

Cancellation or Alteration of Trips
Sometimes advertised hikes may be subject to a route change due to a number of reasons. All steps will be made to select an alternative route of equal distance and difficulty so as to continue your enjoyment of the event.
Pitch Hike reserves the right in any circumstances to cancel your event arrangements. We will always endeavour to run our trips. However, if external circumstances direct that we have no alternative but to cancel your trip you have the choice of transferring the credit to another event, or to request a full refund
By booking a trip with Pitch Hike you agree to abide by the authority of our trip leader. The decisions of the leader are final. If, in the opinion of the leader, your behaviour or physical condition present a risk to the safety, welfare and well-being of yourself or the group as a whole you may be asked to leave the trip without the right to any refund for unused services.
Should you commit any illegal act when on the trip, you may be asked to leave the trip without the right to any refund for unused services. This includes, but is not exclusive to, the use of recreational drugs.
Due to factors outside of our control eg bad weather conditions, or in regard to other safety reasons, Pitch Hike reserves the right to alter a planned trip agenda or cancel an activity. Changes may be necessary in a variety of areas - the accommodation used, the trip leaders, the itinerary. Such changes are rare but necessary at times and we will endeavour to stick as closely as possible to the original planned details
Transport to and from trips is provided. If you should miss the arranged meeting time, you will be responsible for any further expenses you incur in order to enable you to attend the event. Likewise, should you choose, or be advised for safety or other reasons as directed by the event leader, your return home expenses will be at your own expense.

Photos
You are encouraged to share any photos you take on the Pitch Hike Meetup page, or Facebook page.
By doing so you consent to them being transferred between media by the admin of Pitch Hike and used for promotional purposes with no recourse for royalties etc.
If you do not wish to appear in any photos that a participant has taken please do your best in the first instance to avoid any posed pictures. If you appear and wish to be removed, please inform Pitch Hike who will remove the image at the earliest convenience.

Privacy policy
We understand your concerns about data and how it is stored and used and are committed to complying with all data protection laws including GDPR. This privacy policy explains how we use your data, what we use it for and who we share it with.
Personal information may be used for any purpose associated with the operation of the trip you have booked. The information may be disclosed to agents, service providers or other suppliers as necessary for that trip or as law requires to the emergency services. We will otherwise treat your details with confidentiality.

Applicable Law and Jurisdiction
This contract is governed by English Law and the jurisdiction of the English Courts, and you submit to exclusive jurisdiction of the Courts of England or Wales to settle any dispute.

Types of data that could be collected and processed:
Personal details: Your name or nickname that you have used under your Meetup account and any public information you have chosen to share on Meetup.
Sensitive data: Although this is rare, in some situations we may need to kindly request from you personal information that is more sensitive, such as:
- Full name, date of birth, address, mobile number, medical conditions, medication, allergies, dietary requirements, next of kin contacts - this is only requested and used with your consent for our overnight trips - this also applies to anyone else on the same booking when such information is provided.

Retention periods:
We will only keep your personal data for as long as necessary to fulfil the purpose we collected it for, including for the purpose of satisfying any legal accounting or reporting requirements.
By law we have to keep basic information about booking and our customers for six years for legal claims and tax purposes.

Sharing personal data:
In order to provide you with our services, we may share your personal information with third parties such as accommodation providers, transport companies, excursion providers. All third parties are required to equally respect your privacy and to treat your personal data in accordance with the law.
