PR and communications teams spend significant time researching, drafting, coordinating, following up, tracking deliverables, preparing reports and moving information between different tools.
Based on our analysis of common PR and communications workflows, this hands-on workshop will explore how small PR and communications businesses can use AI tools such as ChatGPT, Claude and Microsoft Copilot to reduce repetitive work and improve day-to-day productivity.
This is not just an introduction to AI tools. We will work through practical PR and communications workflows and show how AI can support multiple steps of a task—not just generate a single piece of content.
We will explore examples such as:
• Combining source material, writing guidelines and client instructions to create a structured first draft
• Turning meeting notes into action items, follow-ups and deliverables
• Creating professional follow-up email sequences
• Managing recurring content, bylines and editorial deadlines
• Summarizing research, documents and client information
• Building reusable prompt libraries for common PR and communications tasks
• Using AI to assist with administrative and coordination work
• Understanding how AI can work with tools such as Microsoft 365, CRM systems, meeting notes and other business applications
• Identifying workflows that could eventually be automated using AI agents or connected AI workflows
A key part of the workshop will be about YOUR business.
Participants are encouraged to bring one or two repetitive, time-consuming or frustrating workflows from their own PR or communications business.
Examples might include:
“Every week we spend hours preparing client reports.”
“Our team repeatedly researches the same information before writing content.”
“We spend too much time following up with clients and internal teams.”
“We manually track deadlines and deliverables across several tools.”
“We have information spread across emails, documents, meeting notes and CRM systems.”
During the session, we will discuss selected use cases and explore how AI could simplify the workflow, which parts could be automated, and where human judgment should remain involved.
The goal is to help you leave with practical ideas you can start applying—not just a list of AI tools.
Who should attend?
This workshop is designed specifically for founders, owners, PR professionals, communications leaders and operations teams at small PR and communications businesses with approximately 1–50 employees.
No technical or AI background is required.
Bring your laptop and, more importantly, bring a real business problem or workflow you would like to improve.
