Organizers Guildlines

Below are suggested Organizer Guidelines to follow for your events. We welcome your
feedback on these guidelines.
1. First, have the best time ever.
2. We normally host meetups in four areas (Bradenton, Sarasota, Venice and Englewood), we
don’t want to post the same type of event in the same area on the same day, different
events in the same area and on the same day are okay. If you have any doubt when posting
a similar type of event and another organizer has already posted one, please reach out to
the other organizer. The organizer who posted first event has the final say on “Go” or “No
Go” for your event.
3. We do not schedule meetup events in any of our areas when we hold our Rafferty
scheduled Friday Meetups.
4. We want to make sure people can find us. Please add a “How to Find Us Section” to each
of your meetups. For example: Look for our smiley face signs & meet us at an exact
location at a specific time(s). Please use our smiley face signs and flags to let members
know where you are at. You can get smiley face sings and flags from DJ and Keith. Or ask
Nick.
5. Please greet new members. Request help for this with other event hosts, organizers, or
members.
6. We always have a home base (tables, area for chairs, location, etc.) for every meetup.
7. It is very important that if you are organizing a large event/festival, you need to figure out
in advance a meeting location and/or home base, a place to regroup and provide that
information in your event post
8. We strongly discourage talking about politics, religion or COVID or vaccines. We strongly
discourage wearing political apparel, if you hear or see this at this at your meet up, please
let your attendees know they can take it off-line away from our reserve areas and please
discontinue wearing political apparel to our meetups.
9. We put our Meetup signs up for all events. You may need smiley face flags for crowded
festivals. We provide meetup signs and flags to all organizers. Please reach out to DJ and
she can provide you with the signs.
10. Please contact the venue manager when bringing a large group (over 15)
11. Plan for 50 to 60% show rate. 100 Attendees RSVP. Please tell venue expecting 50 to 60
attendees.
12. Provide lower estimate to venue. For example, 100 people RSVP. Tell venue that will have
between 50 to 60.
13. For any type of dance meetup (estimate, 3 people for every seat when reserving tables).
For example, if 100 people RSVP, request 20 to 25 seats. Try to verify there is an area that
people can stand around our tables.
14. Confirm the parking availability for every event
15. We gently ask people to keep their RSVPs updated for non-dinner events
16. Dinner events. Try to plan for a 15% no show rate.
17. If a bill has not been paid by a member, if you can, please pay the outstanding tab and let
Nick know and he will send you the money the next day. Or let the venue know, we will
reach out the next day and pay them. We guarantee all our member tabs get paid that day
or the next day.
18. Follow up with venue to thank them, confirm they were happy with our group, solicit
feedback and any improvements we can make.
19. If applicable, please mention in your Meetup write up or comments. “Please order a bite to
eat, a drink and leave a great tip”.
20. Approval is needed for any new charity or fundraising event. Nick is our focal point.
21. We have a Zero tolerance policy. Please let Nick and our HR Team know if you run into any
problems with attendees.
22. We value your thoughts (additions, subtractions to these guidelines). Please let us know if
you have any suggestions.
